This tool prints letters for clients.  To access this option, select Tools > Letters > Letters


NOTE

Edit letter text using options in Setup > Communications Editor.



Post-Season Letters for Current Year Clients


You can print a post-season letter for any current year client. 

    1. Go to Tools > Client Communications > Letters, select Postseason - Thank you letter and reminder for next tax season, and click Next
    2. To print this letter for a specific client, either select the client from the list or enter the taxpayer's SSN/EIN, and follow the on-screen printing instructions. To print this letter for multiple clients, leave the box blank and click Next, and complete the following steps. 
    3. The Client Letter Filter Selection dialog opens.
    4. Make filter changes if needed. 
    5. Click Next.
    6. The Basic Search Conditions dialog opens.
    7. Modify search conditions if needed. 
    8. Click Continue to initiate the post-season letter process.
    9. Click Print to print the letter(s).


PreSeason Letters for Last Year Clients


You can print a preseason letter for any last year client that exists in the last year data path.

    1. Go to Tools > Client Communications > Letters, select the Preseason - Reminder letter for upcoming tax season to last season's clients, and click Next.
    2. To print this letter for a specific client, either select the client from the list or enter the taxpayer's SSN/EIN, and follow the on-screen printing instructions. To print this letter for multiple clients, leave the box blank and click Next, and complete the following steps. 
    3. The Client Letter Filter Selection dialog opens.
    4. Make filter changes if needed. 
    5. Click Next.
    6. The Basic Search Conditions dialog opens.
    7. Modify the search conditions if needed. 
    8. Click Continue to initiate the preseason letter process.
    9. Click Print to print the letter(s).

 


NOTE

If pre-existing clients are not found and Drake Software was used last year, check the Location for client files path in Setup > Data Locations.



Individual Estimate Payment Reminder for Current Year


You can print Individual Estimate Letters for clients who have estimated payments due in current year. 

    1. Within Tools > Client Communications > Letters, select Estimate - Reminder letter... and click Next
    2. To print this letter for a specific client, enter the taxpayer's SSN/EIN, and follow the on-screen printing instructions. To print this letter for multiple clients, leave the box blank and click Next, and complete the following steps. 
    3. The closest estimated due date to the current date prints on the letter by default. You can change the due date by entering in the desired payment Quarter. The due date changes to the closest IRS due date to that month. 
    4. Click Next and Print to print the letter(s).


Scheduled Appointment Reminder for Current Year Clients


You can print Schedule Letters for clients who have an appointment with an email address and the taxpayer's SSN/EIN in the current Drake Scheduler.

    1. Within Tools > Client Communications > Letters, select Appointment - Reminder letter... and click Next
    2. To print this letter for a specific client, enter the taxpayer's SSN/EIN, and follow the on-screen printing instructions. To print this letter for multiple clients, leave the box blank and click Next, and complete the following steps. 
    3. The Scheduled Appointment Reminder Letters dialog opens.
    4. Select the date range and preparer. 
    5. Click Next.
    6. The application searches for appointments meeting the criteria and displays the results on the Appointment Selection dialog opens.

 


NOTE

Appointment reminders can be sent to your clients as printed letters, email notices, or you can opt to send both. To use the email feature, make sure you enter the taxpayer's email address on screen 1 in data entry.


 

    1. Select the items to print and click Finish.
    2. The Print Letter(s) dialog opens.
    3. Change printer selection or settings if needed.
    4. Click Print to print the reminder letters.

 


NOTE

Scheduled appointment reminder letters are not produced for recurring appointments.



EF Status for Current Year Clients


Selecting this option in Tools > Client Communications > Letters allows you to print EF status letters in bulk for multiple clients. If you want an EF status letter included with each return, update that setting in Setup > Options. To modify the EF status template, select Setup > Communications Editor.

    1. Within Tools > Client Communications > Letters, select EF Status - Notification of e-file status... and click Next
    2. To print this letter for a specific client, enter the taxpayer's SSN/EIN, and follow the on-screen printing instructions. To print this letter for multiple clients, leave the box blank and click Next, and complete the following steps. 
    3. The Client Letter Filter Selection dialog opens.
    4. Make filter changes if needed. 
    5. Click Next.
    6. Select the applicable Basic Search Conditions and click Continue.
    7. The "Print Letter(s)" dialog opens.
    8. Change printer selection or settings if needed.
    9. Click Print to print the reminder letters.

 

Engagement Letters


Selecting this option in Tools > Client Communications > Letters allows you to obtain the taxpayer's signature(s) prior to the preparation of the returns. In addition, this gives clients the ability to use the engagement letters without having to reduce the count of available returns.

    1. Within Tools > Client Communications > Letters, select Engagement - Terms of engagement... and click Next.
    2. To print this letter for a specific client, enter the taxpayer's SSN/EIN, and follow the on-screen printing instructions. To print this letter for multiple clients, leave the box blank and click Next.
    3. Make any report filtering and search conditions changes as needed, click Next and Continue.
    4. The "Print Letter(s)" dialog opens.
    5. Make printer selection or setting changes if needed, click Print.
